Policy: Privacy

Privacy Guidelines

Purpose

The Privacy Guidelines outline how Avondale School collects, stores, uses, and discloses personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and other applicable laws in New South Wales.

Scope

This policy applies to all members of the school community, including students, parents/carers, employees, volunteers, contractors, and other individuals whose personal data may be collected by the school.

Collection of Personal Information

Avondale School collects personal information that is reasonably necessary for its educational and administrative functions.

This may include:

  • Student and family details (name, contact information, birth certificates, medical history, academic records, etc.)
  • Employee and volunteer information (qualifications, employment history, background checks, WWCC, contact details etc.)
  • Health and wellbeing data for safety and duty of care
  • Photographic and video recordings for school communications and records
  • Financial and payment information for school fees and related activities
  • Family Law Court orders and other information relating to custody and access

Personal information is typically collected through enrolment forms, Consent2Go, Pixevity, applications, interviews, correspondence, school events, and other digital platforms.

Use of Personal Information

Personal information is used for purposes including, but not limited to:

  • Delivering educational programs and student support services
  • Administering enrolments and school operations
  • Communicating with families and guardians
  • Ensuring the safety and welfare of students
  • Meeting legal obligations and reporting requirements
  • Promoting school activities through newsletters, social media, and marketing materials (with consent)
Disclosure of Personal Information

Avondale School may disclose personal information:

  • To government departments and agencies where required by law
  • To medical practitioners in case of emergency
  • To service providers under strict confidentiality agreements
  • To other schools when students transfer
  • With the consent of the individual or their guardian
Storage and Security

Personal information is stored securely in physical and electronic formats. The school implements safeguards to protect information from misuse, interference, loss, unauthorised access, or disclosure.

Access and Correction

Individuals have the right to request access to their personal information and request corrections if the data is inaccurate or incomplete. Requests should be made in writing to the school Principal.

Complaints

Any concerns or complaints about the handling of personal information should be directed to the Principal. Complaints will be managed promptly and in accordance with the school’s grievance procedures.
